Does your student organization meet the Co-Curricular Record's (CCR) 30-hour participation requirement, but still unable to find a Staff/Faculty Validator?

In Fall 2025 the Experiential Learning team launched a pilot Validation process for select student organizations. The meants their involvement hours and leadership experiences can now appear on the CCR Transcript. Use the resources below learn about the benefits of the CCR and see if your organization is eligible to participate!

  • Showcases transferrable skills gained from beyond the classroom experiences
  • Strengthens graduate school and job applications through official university documentation
  • Improves resume, cover letter and interviewing skills through meanginful self-reflection
  • Guides informed decisions and goal setting to prepare for transition from college to career

Step 1 - Principal Member Begins CCR Process

STEP 1: Student org details are reviewed and added to the CCR Catalog.

One principal member should complete the following steps to get the organization listed in the Co-Curricular Record (CCR) Catalog,(must be finalized before 6/15/2026). That person will serve as the point of contact for correspondence and member participation tracking.

  1. Complete this Interest Form to provide details about your organization and member positions.
  2. Schedule a meeting with the CCR Team 
  3. During the meeting we’ll review: 
    • CCR Validation requirements
    • The number of proposed positions for your student org
    • Your responsibilities for tracking member participation hours 
    • Next steps for your CCR application
  4. After the meeting complete either:
  5. Share the Student Org Validation Process slides with all student org members

Step 2 - Individual Member Validation Requirements

STEP 2: Individual members complete all steps to receive CCR Validation.

All members who are interested in receiving Validation must complete the following requirements before June 30th, 2026. The principal member serving as the point of contact is responsible for submitting the organization's participation tracker before the dealine.

  1. Attend at least three EL Workshops (sessions offered weekly): 
    • Introduction to EL and the REAL Portal
    • Community Engagement and Your CCR
    • So What? Reflecting on Your EL Story
    • Preparing for Academic Internships
    • Student Organizations: Partnering for Success
    • Mapping Your CCR to Career Journey
  2. Track individual participation hours using Tracking Template
  3. Submit required CCR Reflection Survey
  4. Participate in one of the Spring 2026 Experiential Learning Showcase events
  5. Identified principal member submits member participation hours via template
  6. Receive CCR Validation for 2025-2026!

Step 3 - Attend 3 EL Workshops

All student organization members interested in receiving CCR Validation must attend at least three workshops from the Experiential Learning Workshop Series, between Fall 2025 and Spring 2026.

Sessions are offered weekly each quarter from Week Two - Week Eight, some of which are virtual and some of which are in-person. If you'd like to request that one of the workshops be facilitated during a GBM meeting, please email elt@ucsd.edu with specifics.

Make sure to list your organization on the registration forms in order to receive credit for the three workshops.

Step 4 - Submit CCR Reflection Survey

All student organization members interested in receiving CCR Validation must complete the CCR Reflection Survey, before participating in the end-of-year EL Showcase event.

This comprehensive reflection helps you identify learning takeaways from your co-curricular activities and involvement. It is meant to connect your experiences outside the classroom to your personal, academic, and career development. The reflection survey follows the "What? So What? Now What" framework, to help you articulate your experience, reflect on your learning, and demonstrate how it aligns with your goals and developed competencies.

Make sure to list your organization's name on the reflection form in order to receive credit for completing this requirement.

Step 5 - Participate in EL Showcase

All student organization members interested in receiving CCR Validation must participate in one of the Experiential Learning Showcase events, scheduled for Spring 2026.

Important Note: Before attending the event please make sure you have submitted your CCR Reflection Survey form, which will help you prepare your 3-5 minute presentation materials.

Event Schedule

  • Week 6 - Wednesday, May 6th, 3-4 pm
    • Virtual via Zoom
  • Week 7 - Tuesday, May 12th, 6-7 pm
    • Virtual via Zoom
  • Week 8 - In-Person: Thursday, May 21 at 3:45 - 5:00 pm
    • In-Person in the Seuss Room (main floor of Geisel Library)

Event Format

  • Presentation Groups (~30 minutes)
  • Roundtable Discussions (~30 minutes)
    • Groups will be organized by EL categories 
    • 4-5 students per group with 1 EL team member or EL Ambassador as moderator (time keeper)

Presentation Guidelines 

Presentation Format Options (participants must choose one)

  • 5 PowerPoint Slides (Virtual and In-Person sessions)
    • A concise, visual presentation using 5 slides to guide your audience through your experiential learning journey.
  • Research Poster (In-Person session only) 
    • A visual, academic-style 3-panel poster 36" x 48" (landscape or portrait) presentation to communicate your experiential learning project
  • Digital Portfolio (Virtual and In-Person sessions)
    • A comprehensive, web-based portfolio showcasing your entire experiential learning journey at UCSD, including multiple EL experiences both curricular (course-based) and co-curricular.
